Position Description:
Director of Operations and Technology
MAJOR RESPONSIBILITIES
1. Finances, reporting, and compliance Manages book-keeping and assists Regional Director (RD) in preparing monthly program-specific cash flow reports. Under supervision of regional director handle payroll, employee paperwork, and payment of contractors and staff. Strictly observe c3/c4/PAC boundaries in all aspects of work. 2. Office Manager Develop and oversee office administrative system through the various stages of organizational growth. Ensures timely organizational responsiveness to requests from public. Manages and maintains office systems including data systems, mailings, bill payment, interface with vendors, and timely upkeep and repair of office equipment. Acts as purchase agent. Pro-actively seeks to improve operational systems, cut costs and improve efficiency. Understands the LYVEF/LIV vision and strategy. 3. Staff support Supports administrative needs of staff, constituents, board members, and address anything that might otherwise slip through the cracks. Handles logistics for Board meetings, and all other Board logistical needs and prepares financial statements for Regional Director for grant proposals and organizational meetings. Pro-actively takes relevant work off of the RD's plate. Holds down the fort and gives tour support when staff is away. Assists RD in administering personnel and other organizational policies. Assists outreach in administering local membership program. 4. Office Volunteer and Intern Coordinator Orients and manages volunteers and interns in Pittsburgh Office to do data entry, mailings and other necessary organizational tasks. 5. Development/Fundraising Assist Regional Director in grant writing. Maintains masterlist of funder opportunities and deadlines. Serves as liaison to appropriate donors and foundations. Pro-actively scouts new fundraising opportunities. Maintains strict compliance with c3/c4 boundaries and all legal and ethical obligations. Works closely with Operations Manager to ensure properly functioning financial and donor tracking systems. Works closely with RD, staff boards to ensure that donor communication and liaison relationships are consistent and strategic. Manages grants and reporting. Effectively engages interns, volunteers and other staff in fundraising. Scouts for creative new ways to fundraise and engage donors as people who offer more than money. Enters checks into book-keeping and donor database. Helps RD to tailor proposals to foundations. Does background research on donors and foundations. Helps administer house parties and other donor events. Administers thank you note system. Facilitates fundraising-related mailings. 6. Management and Facilitation Coordinate membership, committee and staff meetings, develop monthly reports. Report to Regional Director and Executive Cmte on a bi-weekly basis. Supervise scheduling and manage master organizational calendar. 7. Event Planning Assist Outreach Staff in logistics for organizational events. 8. Coordinating Technology and Organizational Data Management Develop system for managing and gathering data (list building etc.) and making sure it is centralized. Understanding Content Management Systems (CMS), Constituent Relationship Management systems (CRM), Database concepts, such as database table structures, queries, and a general understanding of and capability with most things internet/tech. Administer tech systems (such as the organization's web office). Coordinate Training & Support of staff in using technological systems. Provide basic tech support for staff. Research and Investigate new technologies/programs. 9. Online/Website Supervision Becoming proficient in Democracy In Action Web Technology. Coordinate with Information Tech Cmte. to utilize web technology to better manage data. Coordinating website with Comm/Media Cmte & Technology Consultant. Coordinating w/ technology consultant and Comm/Media to keep local site updated w/ local content. Coordinating with local web team and national webmaster to keep national site updated with local content. Qualifications At least two years of Operations /Technology or equivalent experience, including o Experience in a non-profit organization and an entrepreneurial start up. o Strong social justice values and belief in the mission of the organization. o Proven success at volunteer and intern management experience. o Extremely details-oriented. o Excellent written and verbal communication skills o Tech skills AND people skills (gasp!) o Quick learner o Excellent troubleshooter o Good knowledge of technology, internet trends, etc o Good tech trainer o Knowledge of healthy database practices (and good instincts too) o Organized, able to prioritize time effectively, able to multi-task o Can work well independently and always follow through o Demonstrated commitment to economic and social justice o Two or more years of Development Director-level experience including major donors, individuals, foundations, grassroots, events and ideally also merchandise/earned income. o Experience working in an entrepreneurial non-profit or political fundraising situation. o Politically progressive, works well across race, class, culture, etc. o Extremely personable, details-oriented, self-starter, and fast-learner.
